Inventory and Purchasing Lead

IonOptix is a small, international company that builds scientific instruments. We are looking for someone who wants to take ownership of our inventory and purchasing, while helping us build more structure, clarity, and reliability in how we operate.

🎯 Goal of the role

The goal of this role is to create a more reliable and scalable inventory and purchasing setup, where stock is accurate, parts are available on time, and processes are clearly structured and documented.

This is not just an execution role. You will:

• build and improve structured, documented processes (SOPs)
• take ownership of inventory accuracy and inventory health (e.g. stock levels / inventory days)
• work across operations, purchasing, and finance
• combine hands-on work with system ownership and improvement

📍Location: Westwood, MA
⏰ Hours: 20 hours / week spread out flexibly
💰 Salary: $35K / Year

Your job:

📦 Inventory

• Receive and verify shipments in our ERP software (Odoo)
• Maintain accurate stock levels and locations
• Reduce discrepancies and improve structure
• Improve stock organization and part identification

🛒 Purchasing

• Create and manage purchase orders based on demand forecasts and inventory targets
• Order parts via vendor portals
• Follow up on deliveries and delays
• Maintain pricing, tariffs, and delivery dates

🏭 Operations

• Support manufacturing processes in our ERP System (Odoo)
• Improve workflows and data quality
• Assist with associated financial transactions
• Writing and documenting Standard Operating Procedures

👤 What we’re looking for:

• Structured and detail-oriented
• Thinks in systems, not silos.
• Comfortable with excel and software systems (Odoo experience is a plus)
• Hands-on mindset (desk + operational work), able to physically handle boxes up to 40 lbs
• Proactive and takes ownership, while understanding the complexity at hand
• Able to communicate effectively
• US citizen or permanent resident (Green Card)

➕ Nice to have:

• Experience with inventory, purchasing, or logistics
• Experience working with ERP systems, specifically Odoo
• Experience in a technical or manufacturing environment
